1. Who We Are

MeetBurn is operated by Luís Amaral, based in Switzerland (Canton of Zug). We provide a meeting cost and productivity analytics service for individuals and teams.

2. What Data We Collect

  • Account data: Your name, email address, and profile picture, obtained via Google OAuth when you sign in.
  • Calendar data: Meeting titles, durations, attendee counts, and recurrence patterns from your Google Calendar. We request read-only access. We do not read meeting descriptions, notes, or video call links.
  • Usage data: Pages visited, features used, and events triggered within the app (via Google Analytics 4).
  • Payment data: Billing information is processed by Stripe. We do not store card numbers or bank details. We store your Stripe customer ID and subscription status.
  • Calculator data: If you use the free meeting cost calculator without signing in, we store the inputs and results anonymously.

3. Legal Basis for Processing

We process your data under the following GDPR legal bases:

  • Contract performance (Article 6(1)(b)): Processing your account and calendar data is necessary to provide the service you signed up for.
  • Legitimate interests (Article 6(1)(f)): Analytics and service improvement, where our interests do not override your rights.
  • Consent (Article 6(1)(a)): Non-essential cookies and analytics, where we request your consent.
  • Legal obligation (Article 6(1)(c)): Retaining billing records as required by tax law.

4. How We Use Your Data

  • To provide and operate the MeetBurn service
  • To calculate your MeetBurn Score and detect zombie meetings
  • To send transactional emails (account, billing, security alerts)
  • To process payments and manage your subscription
  • To improve the product based on aggregated usage patterns

We do not sell your data. We do not use your calendar data for advertising.

5. Third-Party Processors

We share data with the following processors, each bound by data processing agreements:

Google (OAuth + Calendar API)— Used for authentication and calendar data access. Google's privacy policy applies to data processed via their APIs.
Stripe — Payment processing. Your payment data is transmitted directly to Stripe and never touches our servers.
Convex— Our database provider. Your account and calendar analysis data is stored in Convex's infrastructure (US-based, SOC 2 compliant).
Vercel — Our hosting provider. Processes request data to serve the application.
Google Analytics 4 — Usage analytics. Only activated with your consent. Data is anonymized and does not include calendar content.

6. Data Retention

  • Account data: Retained while your account is active. Deleted within 30 days of account deletion request.
  • Calendar snapshots: Retained while your account is active. Deleted on account deletion.
  • Billing records: Retained for 10 years as required by Swiss law (CO Art. 958f).
  • Analytics data: Aggregated and anonymized within 14 months per Google Analytics 4 default settings.

7. Your Rights Under GDPR

If you are in the EU or EEA, you have the following rights:

  • Right of access (Article 15): Request a copy of all personal data we hold about you.
  • Right to rectification (Article 16): Correct inaccurate data.
  • Right to erasure (Article 17): Request deletion of your personal data.
  • Right to data portability (Article 20): Receive your data in a machine-readable format.
  • Right to object (Article 21): Object to processing based on legitimate interests.
  • Right to restrict processing (Article 18): Request that we limit how we use your data.

To exercise any of these rights, email hello@meetburn.app. We will respond within 30 days. You also have the right to lodge a complaint with the Swiss Federal Data Protection and Information Commissioner (FDPIC). If you are an EU resident, you may also contact your local EU data protection authority.

8. Your Rights Under Swiss nDSG

If you are in Switzerland, you have the following rights under the Swiss Federal Act on Data Protection (nDSG, in force since September 2023):

  • Right of access (Art. 25 nDSG): Request information about whether and how we process your personal data.
  • Right to rectification: Correct inaccurate or incomplete data.
  • Right to erasure: Request deletion of your personal data where retention is no longer necessary.
  • Right to data portability: Receive your data in a commonly used electronic format.
  • Right to object: Object to processing based on our legitimate interests.

9. Cookies

We use essential cookies to maintain your session after sign-in. With your consent, we use Google Analytics 4 cookies to understand how the product is used. You can withdraw consent at any time via the cookie settings link in the footer.

10. International Transfers

Our processors (Convex, Vercel, Stripe) operate in the United States. For EU users, data transfers are covered by Standard Contractual Clauses (SCCs) under Article 46 GDPR. For Swiss users, transfers are covered by the equivalent Swiss SCCs recognised by the FDPIC, ensuring an adequate level of protection for your data.

11. Changes to This Policy

We may update this policy as the product evolves. Material changes will be communicated by email and by updating the date at the top of this page. Continued use of MeetBurn after changes constitutes acceptance of the updated policy.
